SpringHill Christian Camp Cancellation Policy

We recognize that life can be unpredictable, and circumstances can change after you make a reservation. If you are unable to attend your camp or retreat after booking, the following cancellation policy will apply:

Overnight Camp/ Day Camp/ Family Camp & Retreat/ Youth Retreats/ Adult Retreats

Overnight Summer Camp Cancellation Policy:

If circumstances arise and your child cannot attend the week you reserved, you may be able to choose an alternate date, depending on availability. If you need to cancel, refunds depend on when you cancel in relation to your camp dates.

Cancellations over 180 days from your camp experience, minus the deposit, are fully refundable.
Cancellations between 179 and 31 days before your camp experience result in a 25% cancellation fee.
Cancellations between 30 and 8 days before your camp experience are charged a 50% cancellation fee.
Cancellations within 7 days of your camp experience will result in the forfeiture of the entire camp fee.

Day Camp Cancellation Policy

Cancellations over 180 days from your camp experience, minus the deposit, are fully refundable.
Cancellations between 179 and 31 days before your camp experience result in a 25% cancellation fee.
Cancellations between 30 and 8 days before your camp experience are charged a 50% cancellation fee.
Cancellations within 7 days of your camp experience will result in the forfeiture of the entire camp fee.

Family Camp & Family Retreat Cancellation Policy

If circumstances arise and you cannot attend, you may be able to choose an alternate date, depending on availability. If you need to cancel, refunds depend on when you cancel in relation to your camp or retreat dates.

Youth Group Retreats

If circumstances arise and a child cannot attend the retreat, refunds depend on when you cancel in relation to the retreat date.

Adult Retreats

If circumstances arise and you cannot attend the retreat, refunds depend on when you cancel in relation to the retreat date.

Cancellation FAQs

What Happens if SpringHill Cancels Your Event:
Sometimes, we need more reservations to facilitate an event. If SpringHill cancels your event, we provide three options:
1. You can make a tax-deductible donation for the amount paid.
2. You may change your reservation to a future event and receive a credit for any amount paid. If you choose an overnight summer camp, you will receive $175 off the cost of the camp. (Cannot be combined with other offers).
3. You can receive a full refund for payments made.
What happens if my financial circumstances change after registering my child for an event?

We offer need-based financial assistance. If your family’s financial situation changes, we will work with you to ensure that your child can still attend SpringHill.
What happens if I need to cancel my reservation?

If SpringHill does not cancel an event, you are responsible for the cancellation. The cancellation policy listed above determines any refunded amounts.

How and when will I know if my overnight summer reservation is canceled?

For overnight experiences, we make cancellation decisions on a rolling schedule. If your week is canceled, we will notify you via email by the date below and provide you with alternative options.

How and when will I know if my summer day camp reservation is canceled?

If, for any reason, we need to cancel or move a day camp, we will notify you via email. If your camp is moved to a new location or canceled, you can change your dates or receive a full refund. The email will provide full details on your rescheduling or refund options.
How and when will I know if my family camp or family retreat experience is canceled?

For family camp and retreat experiences, you will receive an email notification no later than four weeks from the start date.

How do you calculate the cancellation fee?

All cancellation fees are based on the full tuition of the event.
What if my camper has funds remaining in their trading post account?

We will refund any remaining funds from your trading post account.
When will I get my refund?

Refunds are issued via your original method of payment within four weeks.
What if my original payment was compromised?

Our system only permits refunds to the original payment as a security measure. We can issue you a physical check or credit for a future event.
I have special circumstances. Can you reduce my cancellation fee?

Our team is happy to discuss your situation and potential alternatives.
I am a youth leader; what happens if I need to cancel some spots for my group?

Group events follow the same cancellation policy.
