Conditions of Registration
2025 Events Cancellation Policy

Deposits
Initial deposits will be held by SpringHill, but may be transferred to a different camp experience in the form of a credit on your camper account, with an expiration date of December 31st of the event year (Deposit for 2025 experience expires if not used or applied by Dec 31, 2025; can be applied towards a 2026 experience). Exception: Deposits made during an on-site pre-registration event will be fully refundable for 60 days.
Transferrable Cancellation Fee
Closer to the event date, a transferrable 50% cancellation fee will be added to experiences cancelled within 2-3 months of the event (see table below for dates). In lieu of cancellation, customers may transfer their payments their entire payment balance to their camper account, with an expiration date of December 31st of the event year (balance for 2025 experience expires if not used or applied by Dec 31, 2025; can be applied towards a 2026 experience).

- Labor Day Family Retreat – 5/31
- Family Camp – 3/31
- Winter Teen Retreat – 11/30

- Women’s Retreat – 8/31
Close-in Cancellation
For cancellations within 14 days of the beginning of the event, the entire tuition amount will not be refundable, but can be transferred to a different experience within the same. For transfers to the following year, the majority of the balance will be transferred, however a cancellation fee will apply to recoup costs already invested (see below).
- Summer Overnight Camps – $200
- Day Camps – $100
- Family Retreats – Housing Cost
- Family Camp – $200
- Winter Teen / Pre-Teen Retreats – $25 (deposit)
- Adult Retreats – $100
Payments
To enroll, your application and initial payment must be recorded in our system.
An initial monthly payment must be made to officially reserve your camper’s registration. A deposit based schedule of payment may be available, please call or email our office to look at those options.
Your signature below authorizes scheduled monthly payments and an automatic collection of your remaining balance 30 days prior to the first day of the camp experience. Your camper’s account will be charged $15 for each returned payment.
Enrollment will not be complete until you complete your camper’s health history and emergency contact form, which will is available in “My Account” area of our website. It must be completed at least two weeks prior to the event begin date.
SpringHill reserves the right to refuse admission to any camper that we feel could be a safety risk to themselves or others. (Please note that although SpringHill offers experiences that includes campers with special needs, we are not a therapeutic camp)
Photographs and video footage taken of my child as a result of participation in activities at SpringHill may be used in SpringHill’s promotional materials or website.
Auto-Enroll
Starting following 2025 events, we will begin auto-enrolling campers and families into next year’s events (2026 and beyond) in order keep things simple at check-out, help kids and families keep their spots, and guarantee another awesome experience!
We will send full details in pre-experience communication, including easy ways to opt-out of auto-enroll. Additionally, we will provide a 30 day window opportunity to cancel with no loss of deposit should your plans change (or you forget to opt-out).
